5 Steps to Getting Things Done

People have often asked me what is GTD all about. Getting Things Done, appropriately called as the art of stress-free productivity, conceptualised by David Allen, contains the methodology to control the flow of your life’s work.

The GTD methodology is focused on the Mind, which in today’s age of information overload, is more chaotic than ever. The most appropriate state of mind is metaphorically related to the state of water, which simply responds to any external stimulus appropriately and returns to its normal state thereafter.

This state of appropriate engagement is the outcome that can be achieved through the GTD methodology based on the principle that:

“Your mind is for having ideas, and not for holding ideas”.

The GTD methodology is a simple yet comprehensive 5 step process to control the flow of your life’s work:

  1. Capture

Capture anything and everything that has your attention. Capture happens all the time (24 hrs x 365 days) in 3 broad ways – physical, electronic and mental.

  1. Clarify

Clarify mentally or Process what each captured item means to you. This includes deciding on what’s actionable and what’s not, what’s the next action and what’s the desired outcome.

  1. Organise

Organise the clarified items physically into buckets or categories where meaning matches location. Here is where a trusted system gets created for all the stuff in your life.

  1. Reflect

Reflect on your system on a regular basis to get a higher perspective, so that you are able to stay clear, current and creative. The recommended frequency is weekly review.

  1. Engage

Engage into the most appropriate action at the right time, by deciding your priorities. The GTD methodology covers 3 models of deciding priority – limiting criteria, horizons of focus and threefold nature of work.

The TIME magazine had aptly hailed this book as “the definitive business self-help book of the decade” when it was first published about fifteen years ago. The Getting Things Done (GTD) methodology is based more on attention management rather than time management techniques. As David Allen puts it,

“If you don’t pay appropriate attention to what has your attention, it will take more of your attention than it deserves.”

I have been personally following this methodology since 2006, years before I became Mumbai’s First Certified GTD Trainer in 2016, when I pledged to share this powerful learning with the world.

What’s breaking your silence?

Sharing an insightful story for your self-introspection.

Four monks decided to meditate silently without speaking for two weeks. They began with enthusiasm and no one said a word the whole day. By nightfall of the first day, the candle began to flicker and then went out.

The first monk blurted out, “Oh, no! The candle is out.”

The second monk said, “Hey! We are not supposed to speak!”

The third monk said in an irritated voice, “What is this? Why did you two break the silence?”

The fourth monk smiled and said, “Wow! I’m the only one who hasn’t spoken.”

Reflections:

Each monk broke the silence for a different reason.

The first monk got distracted by one aspect of his experience (the candle) and forgot what was more important – the practice of witnessing without reacting.

The second monk was more worried about others following the rules than in actually practicing them himself.

The third monk let his anger towards the first two monks affect him.

The fourth monk lost his way because of pride.

Why did the fourth monk speak at all? He could have simply maintained his silence and he would have been successful in his endeavor. But if he had, chances are, the other three might have continued to argue and not even noticed his silence.

Some people are like this. Their attitude is “If I’m doing something good, but no one notices, I might as well not be doing it at all.” They believe that the reward is not in the effort, but in the recognition.

As we learn to truly listen, witness and observe without impulsively reacting with distraction, judgement, anger and pride, then we understand the true meaning of life.

The NLP Angle – “The Untold Story of MS Dhoni”

Neuro-Linguistic Programming (NLP) is indeed all pervasive. Having spent almost a decade in the study of this fascinating and enchanting field of NLP, I personally find it unnatural not to relate anything around me with NLP.

Even while watching the recent movie on MS Dhoni, I was constantly relating to the power of NLP in almost every scene. Some examples are illustrated below –

  1. Dhoni is shown to be in complete control of his emotional state at all times – even when the love of his life departs from him or even when he is informed by his excited friends about his selection in the Indian 11.
  2. Dhoni is shown to be in Cause mode all the time, and never in the Effect mode. – He takes the initiative by approaching his coach to allow him to open the innings for the first time in a match against a tough opponent.
  3. There is no failure, only feedback! Dhoni celebrates the day he is not selected in the team (which his well wishers consider as a failure), so that he can always remember the lesson (feedback).
  4. Power of metaphor – In the bike repair scene, Dhoni is shown opening up his bike and repairing it; and while doing so, he recalls the moments of his game of cricket and a realisation dawns on his face that his team needs a repairing too.
  5. A particular friend of Dhoni (Chittu) is shown to be in Effect mode at all times rather than being in Cause mode. This person constantly finds an external locus of control to explain any situation – whether good or bad.
  6. Another friend who comes to meet Dhoni from Kharagpur to his hotel in Kolkata can’t digest the fact that the stewardess is wearing a very short dress. Dhoni very politely responds by saying that he will look into it, thereby respecting his model of the world.
  7. Dhoni tells his friends about the defeat in Bihar vs Punjab cricket match against Yuvaraj Singh – “pata hai hum match kaha haare? – cricket stadium mein nahi, basketball court mein” – when his team players were in already in awe of Yuvaraj the previous night – Perception is projection.

There were certainly many more scenes which could be related to the principles of NLP. This only reconfirms the view that NLP is not just a modality but it is a way of thinking and a way of living life to the fullest!

A hesitation that altered the history

Neil Armstrong – he is the 1st person to set his foot in moon.

But, do you know who was supposed to be the 1st person? Many don’t know…

His name is Edwin C Aldarin…

He was the pilot for the Apollo mission. He was working for the American Airforce. Moreover he had experience of space walking, hence selected as the pilot.

Neil Armstrong worked for the American Navy. He was selected for his courage as co-pilot.

When the Apollo mission landed on moon, they received a command from NASA, “Pilot First”.

But Aldarin was hesitant, “What will happen”, “Will I get sucked in or will I burn out”, etc. The hesitation was not for hours, but few seconds.

In the meantime, NASA sent the next command, “Co-pilot Next”.

Within next second, Neil Armstrong put his foot on the moon & became part of world history.

World history was changed in 1 second… Though Aldarin had the qualification and talent, because of hesitation, he is not recognised by many people.

The world remembers only person who comes first…

This is a good example of how people lose out because of hesitation & fear. Whenever you see the moon, remember this, a moments hesitation can stop us from our greatest victory.

We all have great potential in us, the only thing that stops us from achieving what we are supposed to achieve is our hesitation, fear and shyness.

Many people are shy to ask, shy to appreciate others, & some are shy to share this message. If we fail to do the right things, we will most likely do the wrong things.

Avoid hesitation.

Judge Yourself

Once upon a time there was a painter who had just completed his course. He took 3 days and painted beautiful scenery. He wanted people’s opinion about his caliber and painting skills. He put his creation at a busy street-crossing. And just down below a board which read -“I have painted this piece. Since I’m new to this profession I might have committed some mistakes in my strokes etc. Please put a cross wherever you see a mistake.”

While he came back in the evening to collect his painting he was completely shattered to see that whole canvass was filled with Xs (crosses) and some people had even written their comments on the painting. Disheartened and broken completely he ran to his master’s place and burst into tears. This young artist was breathing heavily and master heard him saying “I’m useless and if this is what I have learnt to paint I’m not worth becoming a painter. People have rejected me completely. I feel like dying”

Master smiled and suggested “My Son, I will prove that you are a great artist and have learnt flawless painting. Do as I say without questioning it. It WILL work.” Young artist reluctantly agreed and two days later early morning he presented a replica of his earlier painting to his master. Master took that gracefully and smiled. “Come with me.” master said.

They reached the same street-square early morning and displayed the same painting exactly at the same place. Now master took out another board which read -“Gentlemen, I have painted this piece. Since I’m new to this profession I might have committed some mistakes in my strokes etc. I have put a box with colors and brushes just below. Please do a favor. If you see a mistake, kindly pick up the brush and correct it.” Master and disciple walked back home.

They both visited the place same evening. Young painter was surprised to see that actually there was not a single correction done so far. Next day again they visited and found painting remained untouched. They say the painting was kept there for a month for no correction came in!

Moral of the story:

It is easier to criticize, but DIFFICULT TO IMPROVE!

So don’t get carried away or judge yourself by someone else’s criticism and feel depressed…

JUDGE YOURSELF! YOU ARE YOUR BEST JUDGE!!!
